RAHO — Clinic reception, appointments and invoicing

Every visit begins with a promised slot and continues through steps with their own actual times. RAHO coordinates practitioner, room and visitor reservations, separates arrival and service from the original promise, then connects invoices to manual receipts and retained corrections.

THE BIG PICTURE

Project overview

A calm reception desk does not have fewer details; it has a clear place for them. A room conflict, a late arrival and a receipt correction each need a visible decision trail. Nextwave designed RAHO around that administrative flow, keeping it distinct from clinical records.

Visual order with room for a calmer desk

Deep teal, pink and green-white tones create a calm reception identity. An original empty reception photograph adds context without people or health information. Waiting and service cards distinguish states that a crowded timetable can otherwise blur.

Three destinations work together: reception overview, appointments and visit file. Practitioner lanes show promised reservations; the queues show recorded visit stages. Mobile layouts turn them into sequential cards with a keyboard-operable navigation drawer.

The promised slot and the actual visit tell different stories

When a visit starts late, its booked time should not move to make it appear punctual. When an invoice is issued, its value should not automatically count as collected. RAHO is built around these distinctions: a promised reservation, actual stages, issued value and independently recorded receipts.

The desk separates booked, arrived, in-service and completed visits. Its financial reading follows invoices belonging to visits on the selected day and their receipts, including entries recorded later. The visit date remains the basis of that reading.

Use case 1: Reserve without double-booking any resource

The desk selects a numbered non-personal visitor code, practitioner, room, service, day and slot. RAHO checks that the full administrative duration fits the practitioner and room shifts and does not overlap another reservation for any of the three resources.

One slot ending exactly when the next starts is allowed; an overlapping minute blocks saving. The configured durations are an internal desk policy, not treatment advice or a calculation of clinical need.

Before arrival, a reasoned reschedule checks resources again and retains the initial plan and every before-and-after slot. It does not erase an earlier promise. Cancellation before the period ends or no-show recording after its end on the appointment date are reasoned decisions from booked status only.

Use case 2: Record actual stages without rewriting the booking

Desk date and time are explicitly manual. Arrival is recorded on the appointment day, service starts after arrival within the shift and completion uses a later time, with notes for each stage. Promised and actual times remain visible together.

Adjacent planned slots do not authorize concurrent actual service. A practitioner, room or visitor still in service elsewhere blocks the next start. An unresolved earlier day's active visit also continues to block the shared resource rather than disappearing when the screen day changes.

A late finish is retained without moving the original reservation. Reading can return to an earlier day or time, but a new file operation cannot precede its latest event. Looking back is therefore different from rewriting history.

Use case 3: Fix the invoice and correct receipts without deleting history

After completion, the desk creates one invoice draft starting with the booked service. Descriptions, quantities and prices can be reviewed, lines added or removed with reasons, and a discount set within the subtotal. Issue freezes the lines, discount and total without automatically recording collection.

The operator records partial receipts manually with an amount, method label, reference and note. Each amount is limited to the remaining balance. Cash, card and transfer describe the record only; the interface neither executes a payment nor connects to a financial account.

Correcting a receipt retains its original amount and every before-and-after value, reason and time. Zero can remove an entry's financial effect without deleting it, and corrections cannot take total receipts above the invoice. A later-day correction remains attached to the original visit date.

Attention to administrative detail and data boundaries

RAHO uses visitor codes rather than real personal records and provides no diagnosis, prescription or health-file upload fields. Search, practitioner, room, status and day filters, and appointment, visit and event exports all belong to the visible administrative scope.

Checks covered resource conflicts, timing, discounts, receipts and corrections at their boundaries, including five hundred appointments, large amounts and long notes. Saves validate a separate candidate state and retain forms on failure. An inconsistent source is protected until backup-first explicit recovery.

What RAHO delivers here

RAHO is an original Nextwave interface project with three pages, working interactions, calculations and browser-local persistence for appointments, reception, invoicing and manual receipts. Its directory is defined, its times and events are user-entered and its storage belongs to the current device.

Clinical records, medical guidance, connected insurance, actual payments, a shared server and health compliance claims are outside this delivery. Sidebar labels beyond the three working destinations are scope indications, not completed modules. This study does not attribute the interface to a clinic or claim undocumented care outcomes.
