You received a session recording and attendance list, but the warehouse employee does not know what to do when a shipment is incomplete. Perhaps the session omitted that case, or the employee's permissions differ from the trainer's. “The team was trained” explains neither possibility.
Begin with work people will perform after implementation. Define a task, outcome and permission boundary for each role, then agree how capability will be observed. This accepts a training service; it is not an exercise in punishing employees or requiring everyone to learn every Odoo application.
Roles determine the learning journey
In a fictional lighting supplier, a salesperson prepares a quotation, the warehouse handles a shipment and a manager authorizes an exception under policy. They do not all need the same session in every detail. Each needs to understand their own work and its handoffs.
Odoo documentation explains that access and editing depend on permissions, roles and groups. A demonstration with a broad administrator account therefore does not prove capability under everyday access. Prepare training accounts representing agreed roles without changing live database permissions to simplify the presentation.
A small training matrix before allocating hours
| Role | Example task | Performance evidence |
|---|---|---|
| Sales | Prepare a quotation from approved information and review its state. | Finds the correct document and explains the next step. |
| Warehouse | Handle receipt of two of five requested units. | Distinguishes received and remaining quantities under the approved procedure. |
| Manager | Review an exception needing their authority. | Understands its reason, decision boundary and record. |
| Reporting user | Report an obstacle beyond their permitted ability to resolve. | A clear issue with reference and steps without excess data disclosure. |
This is a teaching example, not identical menu names or workflows for every version. The trainer maps tasks to your release, applications, customizations and organizational policies. For the shipment, the project defines how remaining quantities are handled; employees should not infer that from a generic online example.
Before the session: prepare learning opportunities
Request a suitable training environment, fictional representative data and an identified relationship to the version people will use. Send team questions and samples of normal and exceptional tasks. Specify explanation language, terminology and reference materials, including differing reading or assistance needs.
The proposal should state who prepares environments, accounts and exercises and whether fees include reference materials, an agreed recording and later reviews. Hours alone do not describe these deliverables. A lengthy course also cannot resolve an operational decision management has not approved.
During the session: let users perform the work
After explanation, users complete an independent exercise with training data. Observe outcomes, assistance needed and whether they can consult the guide. The trainer's successful demonstration should not replace the learner's opportunity to practice.
CDC's training evaluation guide, dated 28 October 2024, distinguishes acquiring knowledge and skills from applying them at work. The general evaluation method is useful here, not an Odoo accreditation standard. Goal-related observation can assess performance without claiming improvement caused by training when no suitable starting comparison exists.
Separate learning obstacles from system obstacles
An employee in the example may understand a step but cannot see an operation their intended role should permit. An error may result from missing data, or instructions may be outdated after customization. Classify the obstacle and owner: additional explanation, permission review, data correction or an implementation defect.
Do not solve every obstacle by widening permissions or label every difficulty employee weakness. Investigate the cause in the agreed environment and repeat the task after correction. The objective remains completing authorized work, not making an exercise succeed by any means.
After training: receive a reference and help route
Users need a short guide matching tasks and version: starting point, inputs, outcome, a common exception and support route. Assign updates when procedures or customization change. Recordings help, but do not replace knowing where to find a particular step.
Agree later review after an opportunity for actual application, within scope and available resources. Collect completed tasks, recurring obstacles and materials needing clarification. Attendance certificates establish participation; training acceptance rests on contracted objectives, performance and deliverables.
The Odoo discovery workshop guide addresses process definition, while configuration and customization decisions explain potential workflow changes. When discussing Odoo implementation with Nextwave, include the training matrix before booking sessions so pricing reflects required usage rather than screen viewing.
