What Should a Paid Odoo Discovery Workshop Deliver?

Useful Odoo discovery produces workflows, roles, gap records and traceable decisions. Distinguish demonstrated behavior from items needing data, verification or development.

“We need purchasing, inventory and projects” starts a discussion but does not explain how a request moves between departments or who stops it when approval is missing. A paid Odoo workshop should produce decisions about that work, rather than only an app list or generic product presentation.

Discovery reduces uncertainty before implementation. Its value appears in a workflow, gap register and recorded decision that support an acceptable first phase. Everything need not be resolved in one session, but you should know what is settled, what remains open and who closes it.

Bring a specific process and its decision-makers

In a fictional events company, an equipment purchase starts with an event manager, passes budget review and reaches purchasing for supplier follow-up and receipt. Requests lack information and approvals sometimes arrive after purchasing begins. The company wants to understand how the proposed solution organizes this flow.

It brings document samples with sensitive information removed, roles, recurring exceptions and an owner authorized to change the process. A technical attendee able to operate the demonstration cannot replace departments owning approval and data decisions.

Five outputs to review after discovery

  1. Workflow: Starting point, steps, outputs, exceptions and handoffs.
  2. Roles and decisions: Requesters, reviewers, approvers, correction owners and prohibited changes.
  3. Fit and gap register: Demonstrated coverage and items needing configuration, data, integration or development assessment.
  4. First-phase scope: Inclusions, deferred work, inputs, dependencies and limits.
  5. Acceptance cases: Defined situations, required results and an approver for each.

Connect the outputs. A gap should point to its process and the consequence of deferral. An acceptance case should reference an understood requirement rather than a convenient demonstration.

A gap card before jumping to customization

The fictional company's question is how to prevent purchasing before budget approval. Instead of immediately writing “custom approval development”, use these fields:

  • Need: Required outcome, reason and approver.
  • Current state: Steps, inputs and the problem observed in the sample.
  • What was tried: Edition, environment and the demonstrated configuration or flow.
  • Observation: What worked and what did not, separating evidence from assumptions.
  • Options: Available configuration, process change, integration or development needing assessment.
  • Decision: Choice, owner, next step and implementation dependencies.

Investigation may reveal a suitable setting, a process simplification or a genuine gap. Custom development should not be the default for every difference from an old system. Equally, “standard” needs a demonstration that the intended approval actually occurs.

Review the demonstrated environment and proposed hosting

Record the edition, plan and demonstration environment and known differences from proposed production. A capability demonstrated in an environment supporting particular customization does not prove that identical implementation is possible on every hosting option.

Odoo Online documentation states that it is incompatible with custom code modules. A recommendation needing such a module should therefore expose hosting, scope and operational effects before fixing the offer. This does not mean every customization requires code. Ask the specialist to identify the proposed method and limits.

Data and integrations need assigned work

Who prepares suppliers, items, projects and existing documents for the events company? What will migrate? Request inputs, a sample, reconciliation method and approver rather than an unexplained migration line.

If another system supplies information, identify its source, availability and delayed or missing-data behavior. An API name in a workshop presentation does not establish integration readiness. Record access, documentation and decisions the implementation team needs before committing scope.

Keep earlier decisions when requirements change

Atlassian's requirements guidance emphasizes goals, assumptions, questions and exclusions. Apply a dated record to the Odoo workshop: what changed, why, who approved it and its effect on phase one.

Every step does not need a long document, but the team needs a shared reference rather than scattered messages. Agree delivered files, their use for implementation bids or further analysis, included output reviews and what constitutes additional work.

Accepting the workshop

Follow an important requirement from workflow to gap card, decision, phase scope and acceptance case. Business owners in the example should explain who approves purchasing, rejection behavior and unverified items. Ask for missing links before accepting the analysis.

The workshop may recommend a smaller experiment or more data rather than a final price for the entire project. Read the paid discovery evaluation guide for general engagements, then use the Odoo proposal comparison for implementation offers. Commission Odoo analysis and implementation through defined outputs your team can review and use.

Sources and framework limits

Official Odoo Online 19 documentation and Atlassian's product requirements guidance were read on 3 November 2026. The output list and gap card are proposed buyer guidance, not an official certification template or guarantee of configuration fit. The example is fictional and establishes no company's partnership. The text was prepared with AI assistance and review of its content and sources.
