Comparing Odoo Implementation Proposals Beyond the Total Price

An app list and a total price are not enough to compare Odoo proposals. Separate licensing, configuration, development, data migration, training and support, with acceptance evidence for each.

Two proposals listing sales, inventory and accounting do not necessarily describe the same implementation. One may assume you will prepare and enter data and train users, while another includes working with your team on those activities. Before choosing the lower figure, ask each implementer what will be ready for use and how you will verify it.

Comparing Odoo proposals starts with company processes, not an application list. Define a journey from beginning to end, the roles involved and the information passing between them. You can then see whether suppliers are addressing the same operation or placing similar headings over different commitments.

Give every supplier the same reference scenario

Consider a fictional distribution company. A customer order arrives, an employee checks stock and price, the warehouse prepares the goods, the required documents are issued, and an item may later be returned. Identify the owner of every step and what happens when stock is short, prices differ or a return occurs. Use representative fictional records rather than exposing customer information.

Send the same scenario to every company. Ask whether each need is covered by standard behavior, configuration, custom development or integration with an existing system. “Available” needs explanation: a product capability does not mean its setup, testing and user training are included in the proposal.

Separate seven layers before adding the total

LayerWhat to clarifyReview evidence
Licensing and planEdition, users, applications and the party receiving payment.Written items linked to the plan currently being proposed.
Process analysisJourneys, roles, gaps and phase-one boundaries.A requirements and decisions log reviewed by process owners.
Configuration and developmentWhat is used unchanged, configured or programmed. Each requirement mapped to a solution and acceptance test.
DataCleaning, transformation, import, history and attachments.A sample migration, reconciliation report and exceptions.
IntegrationsSystems, directions, accounts and third-party limits.Data flows, failure cases and integration tests.
Training and launchRoles, tasks, rehearsal and launch approval.Users completing tasks and a recorded go-live decision.
Support and hostingMonitoring, backups, maintenance, incidents and upgrades.A responsibility matrix, service boundaries and escalation route.

If consultancy hours are proposed, ask how they are estimated and consumed and who approves additional hours. If the price is fixed, ask which assumptions and exclusions support it. Do not assume hours guarantee every outcome or that a fixed price covers every later change.

Customization has consequences after launch

Your request may change a report, or it may introduce new business logic. Ask for a distinction between configuration and custom development, including why each is proposed. Odoo's published implementation methodology discusses limiting unnecessary development and involving key users. Your project still requires testing the particular gap rather than rejecting every customization.

Ask who maintains custom modules, owns their files and verifies compatibility during upgrades. Hosting also changes the options: official Odoo Online documentation excludes custom code modules. The proposed development approach must therefore match the operating environment, rather than leaving that conflict until after the agreement.

Who prepares data, and who approves its meaning?

“Migrating customers and products” does not explain how duplicate records, inconsistent codes or opening balances will be handled. Choose a sample containing difficult cases and request a trial migration before the final cutover. Separate master records from historical information and agree what will move and what will remain available only for reference.

The implementer can execute migration rules and technical checks, but your process owner needs to review business meaning and approve reconciliation. Import success alone is insufficient: a complete file may still map a product to the wrong unit. Record differences and the person deciding how to resolve them. A migration rehearsal is not a general accounting certification.

Training is more than a session count

Request training organized by role and task. In the fictional distributor, training the administrator does not demonstrate that a warehouse employee can process a return or stock shortage. Agree on tasks users complete themselves, reference materials and a way to collect questions after launch.

Your company also needs an authorized person to decide scope and data questions. Document the inputs and approvals you must supply. Delayed catalogs or permission decisions should have a visible effect on the plan rather than leaving the implementation schedule dependent on unrealistic assumptions.

Discuss support before you need it

Distinguish a defect in the delivered scope from a usage question, a new development request and an external-provider outage. Agree on the reporting channel, diagnostic information, coverage hours and escalation owner. Starting a response is not necessarily the same as resolving every incident; request definitions you can understand and review.

Clarify who operates hosting, backups and restore tests and who monitors failed integrations. Do not silently assign those jobs to an internal technology team you do not have. Equally, a product subscription alone should not be assumed to cover work specific to your environment.

Make the comparison an explainable decision

Place proposals side by side against your reference scenario and the seven layers. Mark every answer as clear and included, dependent on an input, excluded or requiring clarification. Discuss unclear cells before negotiating price. You may choose a smaller scope, but you will understand what you have deferred and who will operate it.

Any “official partner” status needs separate verification in Odoo's directory; this article establishes no company's partnership status.
