An ERP Demo: Change an Input and Trace the Same Journey

A two-run ERP demonstration worksheet tracks changed inputs, transaction references and live versus proposed behavior.

An ERP demonstration can show purchasing, receipt and sale within minutes. But did the same transaction move between those screens? Request a second run with one agreed input changed and references tracked. That produces clearer evidence than replaying the same presentation more slowly.

Choose a small repeatable journey

A fictional schoolbook distributor wants to see an item purchased, received, sold and delivered. The team would prepare synthetic data in an authorized demonstration database and define inclusions and exclusions. This is a proposed example, not a performed test, real organization, financial acceptance or operating branch pilot.

Specify starting and ending points, item, quantity, location and user. Ask whether the environment was configured for this case and which extensions it includes. “The system supports it” does not distinguish today's live demonstration from future configuration or development.

Separate demonstration from description

Microsoft's storyline-review guidance distinguishes demonstrating a configured solution from resources explaining parts unavailable live. Apply that distinction to the evidence record without treating its workshop agenda or percentages as a universal ERP requirement or binding acceptance standard.

Label each step as observed in the specified environment, explained through a diagram or still proposed. If the presenter switches to a prepared screenshot or unrelated record, identify that switch. Explanation can help, but answers a different question from tracing an input changed in front of you.

A two-run worksheet replaces impressions

Use the following tool with the supplier. The process owner writes the expected second-run outcome beforehand; the team agrees how to reset starting data or isolate a fresh sample. Unrecorded changes to several factors make differences harder to interpret despite a visually persuasive ending.

Evidence field First run Modified run
Environment and setup System version and inventory route Did these remain unchanged?
Input Initial item and quantity One agreed quantity change
References Order and related movement identifiers Fresh sample references linked to steps
Effect Status and quantities at checkpoints Expected difference versus actual observation

Repeating a journey may require new transactions rather than editing an already validated order. A qualified implementer chooses a safe demonstration path and explains it. The objective is comparable evidence, not forcing changes to a finalized document that the system disallows.

Creating a movement differs from validating it

Odoo19's one-step receipt instructions show a receipt reference after purchase-order confirmation, then separately describe validating the receipt into Done. Delivery also has a validation step. Request movement status and reference rather than treating a confirmed order screenshot as completed downstream work.

This documents a specific configuration, not every warehouse or step count. In the fictional demonstration, the supplier explains where quantity changed or remained unchanged and whether movement status or route configuration caused it. This does not establish inventory valuation or accounting-entry correctness.

Turn discrepancies into specific questions

Link a second-run difference to its input, reference and checkpoint. Ask whether it follows an existing rule, reflects missing configuration or needs work outside the demonstrated solution. Record the answer and evidence. Keep unresolved points unproven rather than automatically labeling them defects or successes.

Identify who supplies missing evidence, an agreed review date and whether another session or commercial scope detail is needed. External approval dependencies should limit the conclusion explicitly, without suggesting a short demonstration establishes operational readiness.

Retain both comparison summaries and sample references with unshown work identified. This package improves the purchasing question; it does not replace requirements analysis, user trials or agreed acceptance tests. A sensible session outcome can be requesting further proof before approving scope.

Use project requirements preparation to choose the journey, then bring the worksheet when discussing ERP implementation with Nextwave. The discussion becomes a traceable effect rather than a count of menu modules.
