What Should a SaaS Development Proposal Include?

A subscription platform proposal needs more than registration and payment screens. Define the customer organization lifecycle, users, plans, isolation and operations, then test one story across selling and service delivery.

A successful payment page does not mean you have accepted an operable subscription platform. A paying customer might receive the wrong plan, a departed employee might retain company access, or your team might need undocumented manual changes whenever a subscription ends. These workflows distinguish SaaS scope from a list of web screens.

When requesting a proposal, follow the subscribing organization from its first invitation to the end of the relationship. Identify first-phase work and deferred items, then connect each item to an output, an acceptance exercise and an operational owner. That makes offers with different assumptions easier to compare.

Define the subscribing customer

Consider a fictional platform managing maintenance contracts for small businesses. Each subscribing company has a manager, technicians and its own contracts. A signed-in person is not the company itself: someone might work with two companies under different permissions and lose access to only one.

Define whether a customer means a company, branch or group, and whether branches share one subscription. Ask how its workspace is created, users are invited, access is removed and workspace switching works where permitted. These decisions should precede registration-screen implementation.

Six scope items behind the platform label

ItemProposal clarificationInspectable evidence
Customer onboardingRegistration or invitation, verification and initial setup.A new company reaches its first useful task.
UsersRoles, invitations, access removal and multiple workspaces.Manager and technician permissions differ as agreed.
PlansFeatures, limits and when changes take effect and end.A trial converts while preserving agreed data.
CollectionPayment provider, subscription states, notifications and exceptions.A known collection outcome follows a written policy.
IsolationBoundaries for data, files and background work.Tests prevent one customer accessing another's resources.
OperationsAdministration, monitoring, support and knowledge transfer. An authorized owner handles an exception with a clear record.

This is an editorial scope worksheet, not a requirement to build every feature immediately. Manual invitations or collection outside the platform may suit an initial experiment. Make the manual path, limits and owner explicit instead of treating a visible screen as completed operational work.

Agree plan policy before connecting payment

Define what limits a plan: users, contracts or another usage measure. What happens when a limit is exceeded? Does a downgrade prevent new records, hide a feature or require intervention? Test effects on existing data rather than only changing a plan label in administration.

In the maintenance example, a manager might retain read access to old contracts after a trial ends without permission to add contracts. This is a proposed business choice requiring approval, not a universal rule. Also define late payment, cancellation and return, plus who approves exceptions and records them.

Stripe documents a subscription lifecycle with states affected by invoices and payments. The buyer lesson is to distinguish payment confirmation, subscription state and feature entitlement. Implementation depends on provider, country and agreement; this article assumes neither provider availability in every market nor particular fees.

Isolation needs implementation evidence

AWS describes tenant isolation as foundational while its implementation varies. Microsoft's guidance distinguishes verifying a person's identity from authorizing access within a tenant. Hiding a navigation item therefore does not demonstrate that company data is isolated.

Request direct-access rejection cases for links, files and exports, along with support-staff access boundaries and approval and review of that access. You need not prescribe a separate database per customer without analysis. Understand the chosen approach, what is tested and the limits of the evidence. These checks do not constitute security certification.

An acceptance journey across the relationship

  1. Create two fictional companies with different data and invite defined roles to each.
  2. Let each perform the core task, then test unauthorized access to the other company's resource.
  3. Change one company's plan under the agreed policy and inspect reading and creation limits without affecting the other.
  4. Simulate a subscription exception in the test environment so an administrator can understand and resolve it with a clear record.
  5. Remove a user's access, then review agreed termination, export and retention policies.

Separate build costs from operations, licenses, providers and support, with the usage assumptions supporting estimates. Customer growth does not establish guaranteed performance or cost figures before representative load testing and understood limits.
