n8n, Power Automate or Custom Automation: A Buyer Comparison

A matrix compares one process across n8n, Power Automate and custom development through integration, operation, entitlement and handover.

The same workflow can appear in n8n, Power Automate or custom software, while its diagram says little about account ownership, failed connections or changes after the implementer leaves. Useful comparisons start with organizational operation and delivery rather than the tool's name.

Ask providers to compare the same journey, data and exception. Demonstrating one tool on a simple example and comparing its price with a broader custom system is not a fair scope comparison. Define trial boundaries and deliverables, letting each provider explain implementation and subscription or external dependencies.

One journey for three proposals

Imagine a fictional internal equipment-request process: submission, approval, inventory-record update and requester notification. This is not an automation service resold to customers, and no workflow was run. Include accepted and rejected requests and an absent approver to expose differences.

Define successful completion and human intervention. Is a message sufficient, or must a record update be evidenced? Who owns a disconnected request? Suitable proposals address outcomes without assuming every exception needs custom development or that a prebuilt connector covers every case.

An evidence-based comparison matrix

Dimension Request from every option Proposal gap
Integration Required action, support evidence and authorized account Product logo instead of demonstrated action
Operation Hosting, backup, update and monitoring owners Responsibility ending when the workflow is built
Entitlement Plan, license, usage limits and verification date Unqualified free or unlimited wording
Access Editors, reviewers and credential handling Dependence on one person's account
Change Workflow version, tests and accountable change process Unexplained direct modifications
Handover Files, guidance and an authorized substitute's exercise A demonstration without independent follow-up

These original questions do not constitute measured product ratings. A simple option can meet requirements with understood limits. Mark each field established, requiring verification or excluded, with a next-action owner. An untested promise cannot receive full credit.

What needs verification for each option?

For n8n, separate self-hosting from feature entitlement. Edition documentation distinguishes some sharing and governance capabilities by plan. Its license also contains restrictions and components under different conditions; source availability does not automatically authorize every resale or commercial hosting model.

For Power Automate, Microsoft distinguishes user and capacity licensing, connector rights and execution modes. A Microsoft365 subscription alone does not establish coverage of every proposed integration. Ask the implementer to identify the required context for your accounts, without inferring prices or capacity from a generic name.

For custom development, request justification of what a suitable alternative cannot cover and assign code, dependency and operational maintenance. Owning application files does not automatically provide external services or eliminate recurring costs. Custom work may be justified, but the reason should extend beyond the provider's preferred technology.

Exercise the account owner's absence

Ask how authorized staff continue when the creator is unavailable. Can they distinguish an equipment request awaiting approval from a failed inventory update? Request synthetic data and suitable credentials, without real messaging, production stock changes or secrets in the handover document.

Also exercise a small rule change, then retrieve the previous version's description and explain its effect. A small process need not require oversized tooling, but organizational knowledge and decision ownership require explanation. A substitute should know whom to contact and which evidence to provide.

Compare cost under matched assumptions

Separate analysis, build, licensing, hosting, monitoring, support and change work. State assumed usage, its source and growth implications, without fabricated prices or claims that one option is always cheaper. Review relevant use conditions with the appropriate party; this article does not adjudicate your licensing position.

Start with the process brief and exception plan. Attach the matrix when requesting process automation from Nextwave to compare an operable service beyond a workflow picture.
