A driver takes a photograph and taps “delivered”, but the office cannot tell whether both parcels arrived or the picture belongs to that shipment. A proof-of-delivery application needs a record connecting outcomes to identified work, beyond a button ending a mobile task.
Before requesting a price, identify what operations need to establish and who needs to see it. One workflow may need a status and note; another may need a photo or recipient name under approved policy. More evidence is not automatically more useful: it may collect unnecessary information the team cannot interpret.
Define the delivery unit before its evidence form
Imagine a fictional office supplies distributor. A driver arrives at one address with two parcels for an order. The recipient accepts one and rejects the other because of visible damage. If the task closes only at address level, how does the office distinguish delivered goods from goods requiring return?
Describe relationships among order, shipment, attempt and individual items where needed. Provide traceable references and policies for partial delivery and another attempt. A recipient name or telephone number alone may repeat across visits and should not be the sole reference.
A delivery record worksheet
| Element | Scope question | Office view |
|---|---|---|
| Operational identity | Which order, shipment, attempt and item does this result describe? | Clear links between work and evidence. |
| Recipient | What information is necessary and is delegated receipt permitted? | A policy-aligned description without excess data. |
| Outcome | Defined full, partial, rejected or unsuccessful delivery. | An understandable state and next action. |
| Evidence | Photo, signature or note, and when each is required. | A linked file and its arrival status. |
| Time and location | Time source, permission, accuracy limits and absence. | Known context without unsupported precision claims. |
| Review | Who corrects outcomes or approves exceptions? | Change history, reason and owner. |
This proposed requirements sheet does not define legal evidentiary validity. The organization approves recipient, evidence, retention and access policies with appropriate specialists. The implementer explains technical support and limits of the proposed version or platform.
Connect requirements to the outcome
The rejected item might need a reason and condition photograph, while the accepted item follows its own evidence policy. One image should not silently close both parcels. If reception-desk collection is permitted, define driver records and review needs rather than assume everyone at the address is authorized.
Onfleet documents photo, signature and note requirements configurable per task. The useful concept is varying evidence by task, not equivalence between platforms or availability in every subscription. A technical identity-document field is not by itself a reason to collect identity documents.
Location is operational context with limits
Android documentation distinguishes foreground and background access and precise and approximate location. Ask what happens if users refuse permission or grant a lower level. Do not promise perfect GPS or treat coordinates alone as proof of recipient identity or completed delivery.
Specify whether an event-time location or continuous tracking is needed and why; their scope and purposes differ. Approve an understood driver policy, viewing boundaries and appropriate retention under organizational requirements. This article does not determine privacy rules for every country or device.
Saved evidence may not have arrived
A result may be stored on the phone while its photograph remains pending. The office should distinguish complete, missing-attachment and review states. Discuss effects on task closure, notifications and later processes rather than triggering everything when a “done” label appears.
The offline app requirements guide covers synchronization and conflicts. Apply it here to delivery units and outcomes, identifying detection and follow-up for incomplete records without assuming all application features work offline.
Acceptance includes undelivered items
- Complete delivery using invented data, tracing the shipment reference to permitted evidence.
- Accept one parcel and reject another, with correct outcomes and next actions visible to the office.
- Fail an attempt and begin another without erasing the first attempt's history.
- Refuse location permission or omit required information, verifying the agreed fallback or block.
- Receive a result before its photograph, showing incompleteness without invented evidence.
- Correct an outcome through an authorized person, reviewing reason, history and access boundaries.
When discussing a driver application with Nextwave, identify records and scenarios the office must interpret. Value comes from understanding what happened and what requires action, rather than the number of mobile fields.
