A current procedure, an older version with the same name and a sales offer containing an expired exception coexist in a folder. Uploading everything does not determine the authoritative answer. Conversational fluency cannot replace an owner's decision when sources conflict.
Before commissioning an AI assistant, prepare a small knowledge pack with understood boundaries: permitted content, approval, changes and questions it should not answer. These are scoped activities with costs and owners, beyond uploading files and training a bot.
Start with the questions to support
A fictional event-equipment rental company wants customer service to explain booking conditions, required documents and service coverage. Availability on a particular day comes from current operations rather than a static brochure. Write questions representing that distinction before selecting files.
For each question, identify the expected source, approving role and when information becomes stale. Record a missing approved source as a gap instead of treating an attractive draft answer as company knowledge. Some questions require an integration or employee decision, not another document.
A source card instead of an unexplained folder
Use this original card for a content group sharing an owner and update cycle. Include it with a proposal request without disclosing secrets or customer data during introductions.
- Identity: title, location, identifier or version, and the authoritative file where several exist.
- Owner: the role reviewing and approving changes, with a backup.
- Scope: products, situations or effective period, including exclusions.
- Access: permitted readers and suitability for a public, internal or role-specific assistant.
- Updates: change detection, withdrawal of old content and replacement testing.
- Verification: reference questions with approved answers or reasons for specialist handoff.
Booking conditions may be public while a particular corporate discount is internal. Storing both files together does not authorize the same audience. Ask how retrieval enforces access boundaries and how those boundaries will be tested.
Inspect the content itself
Select samples representing long files, tables, scanned images and both languages where present. Can a meaningful title and text be extracted? Could a condition lose its exception when only part is read? Does a page refer to a missing table or attachment?
Microsoft's RAG design guide covers representative content and questions and evaluation across processing stages. Opening a PDF does not prove successful meaning extraction. Ask to inspect extracted content and its source trace instead of measuring processing success only by uploaded file counts.
Modification date is not approval
The newest file may only change formatting. Identify who approves policy and which date establishes its effective period. Conflicting conditions need precedence or owner review, beyond telling an assistant to choose appropriately.
Distinguish changing an original file from updating the knowledge the assistant actually reads. Document-access guidance describes approaches depending on synchronized permission metadata. Do not assume withdrawal or changed access is instantly reflected in every design; request agreed limits and test evidence.
Three knowledge cases before broad conversation testing
A question with clear support
A customer asks which booking documents are required. The answer should preserve the approved text's scope and provide an understandable source reference where designed. The content owner checks that the condition and its exception remain complete.
A question outside the content
A customer asks whether equipment is available on a date, while inventory integration is excluded. The assistant should explain the limit or hand off through the agreed route rather than turn general booking policy into an availability promise.
Withdrawn or differently restricted information
A policy changes or a test permission is withdrawn. Repeat the question with authorized and unauthorized roles after the agreed update cycle. Record source, version, time and result rather than an answer screenshot without its knowledge context.
Turn the pack into an assessable proposal
Separate content cleaning, extraction, connections, updates and review from the chat interface. Define customer inputs and supplier work. Avoid putting the entire archive in phase one when the task needs a smaller maintainable source collection.
The AI agents introduction explains use cases; the supplier demo guide covers task evidence. Send source cards when discussing AI assistant or agent development with Nextwave so estimates start with bounded knowledge.
Sources and preparation
Microsoft's RAG design and evaluation guide and document-level access overview were opened on 3 November 2026. This recommends neither a provider nor preview features and guarantees no universal answer accuracy. The original card and cases were prepared with AI assistance and review of the content and sources.
